You get a notification. New lead, contact form filled out. You send the calendar link immediately.
They book a 45-minute discovery call for Tuesday. You spend 20 minutes researching their company beforehand.
Five minutes in, you know. They don't have the budget. They're price-shopping. Or they have no idea what they actually need yet.
You spend the next 40 minutes being polite. That hour is gone. If this happens three times a week, you're losing a full workday every month to calls that were never going to close.
What "qualified" actually means
Before you build anything, you need to define your filter. You can't automate criteria you haven't written down.
For most consultants, agencies, and contractors, a qualified lead has four things: a budget that matches your pricing, a timeline that means now rather than eventually, a decision-maker on the call rather than someone gathering quotes, and a specific problem rather than a vague "I heard I need AI" curiosity.
If you don't know the answer to those four things before the calendar invite goes out, your schedule is exposed.
The automated qualification workflow
The answer isn't a long intake form. Too many required fields and good leads abandon the page before finishing.
We use a conversational approach instead:
- A lead submits a short form on your site or sends a DM.
- The AI immediately sends a friendly message via SMS or email asking two or three qualifying questions about timeline and budget.
- When they reply, the AI reads the response, scores it against the criteria you set during the build, and routes it.
- High-score leads get your booking link. Low-score leads get a polite response with a helpful free resource instead of a calendar invite.
- For high-ticket services, we often add a human-in-the-loop step: the AI sends you the lead's score and answers in Slack, you click approve, and the link goes out.
The lead never knows they've been filtered. They just get a fast, helpful response either way.
Speed plus a filter
This builds on the Speed-to-Lead concept. Replying within 10 minutes matters because interest drops fast. But replying fast to everyone just means you book bad calls faster.
The goal is both: engage the prospect while they're still warm, and pass them through a filter before they land on your calendar.
